Who we are

Vantage Inc. (“Vantage”, “we”, “us”, “our”) operates the website https://vantagelabels.ca, where we sell thermal transfer labels, direct thermal labels, and printer ribbons to businesses across Canada.

This policy explains what personal information we collect, why we collect it, who we share it with, and how you can access or correct it. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

Information we collect

Information you give us

When you place an order, create an account, or contact us, we collect:

• Your name and the name of your business
• Billing address and shipping address
• Email address and phone number
• Order details, including the products purchased, quantities, prices, and any purchase order or reference number you supply
• Account credentials, if you register an account (your password is stored in encrypted form and is not visible to us)
• Any tax-exemption or business-number information you provide in connection with an order
• The content of emails, quote requests, and support messages you send us

Payment information

Card payments are processed by WooCommerce. Your full card number, expiry date, and security code are transmitted directly to WooCommerce and are never stored on our servers. We receive only limited transaction data from WooCommerce, such as the card brand, the last four digits of the card, the authorization result, and a transaction reference. WooCommerce’s handling of your information is governed by its own privacy policy, available at https://woocommerce.com/privacy policy/.

Information collected automatically

When you visit our website, we and our service providers automatically collect:

• Your IP address, browser type, operating system, and device type
• The pages you view, the products you look at, how long you stay, and the site or search that referred you
• Cookie identifiers and similar technologies (see “Cookies” below)
• Server log data, which our hosting provider retains for security, troubleshooting, and fraud prevention

Why we collect your information

We use the information described above only for the following purposes:

• To process, fulfill, and ship your orders, and to issue invoices and receipts
• To take payment and, where necessary, process refunds or credits
• To send you transactional messages about your order, such as order confirmations, shipping notifications, and tracking information
• To answer your questions, prepare quotes, and provide customer and warranty support
• To maintain your account and make your order history and saved addresses available to you
• To detect and prevent fraud, abuse, and security incidents
• To understand how our website is used so we can improve it
• To send marketing emails, where you have consented to receive them
• To meet our legal, accounting, and tax obligations

If we ever want to use your information for a purpose not listed here, we will tell you and obtain your consent first.

Cookies

Cookies are small text files stored on your device. We use them for two purposes.

Essential cookies. These make the store work. They remember the contents of your cart, keep you signed in as you move between pages, and secure the checkout process. The site cannot function properly without them. Cart cookies typically expire within a few days; login cookies last up to two days, or two weeks if you select “Remember me”, and are removed when you log out.

Analytics cookies. These help us understand how visitors use the site. See the next section.

Most browsers let you refuse or delete cookies through their settings. Blocking essential cookies will prevent you from adding items to your cart or completing checkout.

Analytics and advertising

We use Google Analytics to measure website traffic and understand which products and pages our visitors are interested in. Google Analytics sets cookies and collects information such as your IP address, device and browser details, and the pages you visit. We use this information in aggregate; we do not use it to identify individual visitors.

Advertising

We advertise on Google Search. When you arrive at our site from one of our ads, Google attaches an identifier to the link so we can tell which ad brought you here. We use Google Ads cookies to measure what happens next: which pages you look at, whether you add anything to your cart, and whether you complete an order. This tells us which ads are worth paying for.

If you place an order, we send Google a limited set of details about that order so it can be matched to the ad click. This includes the order value, the currency, and an order reference number. It also includes your email address, name, and billing address, but these are converted into an irreversible scrambled form before they are sent. Google cannot read them. They can only be compared against the equivalent scrambled values Google already holds, which is how the match is made. Google calls this feature enhanced conversions.

We do not send Google your card details, and we never will. Payment information does not pass through our advertising tools at all.

We do not currently show a cookie banner. Analytics and advertising cookies are set when you arrive. If you would rather they were not, you can clear or block cookies for this site in your browser settings, and you can turn off personalised advertising across all of Google’s services at myadcenter.google.com. Blocking these cookies does not affect your ability to browse the site or place an order.

Google’s privacy policy is available at https://policies.google.com/privacy. You can opt out of Google Analytics on every website you visit by installing Google’s browser add-on at https://tools.google.com/dlpage/gaoptout.

Who we share your information with

We do not sell, rent, or trade your personal information. We share it only with the service providers we need to run the business, and only to the extent required for them to perform their work for us:

• Payment processing — WooCommerce, to authorize and settle card payments and to screen for fraud.
• Shipping and delivery — carriers such as Canada Post, Purolator, UPS, and freight providers, who receive the recipient name, delivery address, phone number, and email needed to deliver your order and send tracking updates.
• Website hosting and infrastructure — our hosting provider, which stores the website and its database on our behalf.
• Analytics and advertising — Google, as described above. This includes scrambled contact details used to measure the results of our ads.
• Professional advisors — our accountant or legal counsel, where necessary and subject to confidentiality obligations.

We may also disclose personal information where required by law, in response to a valid legal demand such as a subpoena or court order, to collect a debt owed to us, or to protect our rights, property, or safety. If Vantage Inc. is sold, merged, or reorganized, customer information may be transferred as part of that transaction; the recipient would remain bound by this policy.

Where your information is stored

Some of our service providers, including WooCommerce and Google, store and process information on servers located outside Canada, primarily in the United States. While your information is in another country, it is subject to the laws of that country and may be accessible to its courts, law enforcement, and national security authorities. We select providers that offer a comparable level of protection to what is required under Canadian law and we require them, by contract, to protect your information.

How long we keep your information

• Order and transaction records — at least six years from the end of the tax year they relate to, as required by the Canada Revenue Agency for business records.
• Account information — for as long as your account is open. If you close your account or ask us to delete it, we remove your profile but retain the underlying order records for the tax period described above.
• Customer support correspondence — generally up to three years, so we can handle warranty questions and repeat issues.
• Analytics data — retained by Google according to the retention period configured in our account, after which it is deleted automatically.
• Marketing subscriber lists — until you unsubscribe, plus a record of the unsubscribe itself so we can honour it.

Marketing emails

We send commercial email only where Canada’s Anti-Spam Legislation (CASL) permits it — for example, where you have given us consent, or where you have an existing business relationship with us such as a recent purchase or enquiry. Every marketing email includes an unsubscribe link, and you can also unsubscribe at any time by emailing support@vantagelabels.ca. We will act on your request within 10 business days.

Unsubscribing from marketing does not stop transactional messages about orders you have placed, such as confirmations and shipping notices.

How we protect your information

Our website uses TLS encryption (HTTPS) for all traffic, including checkout. Access to customer data is limited to the people who need it to do their jobs and is protected by individual accounts and strong authentication. Card data is handled by WooCommerce, a PCI-DSS Level 1 certified provider, and never touches our servers.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach occurs that creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.

Your rights

You have the right to:

• Access the personal information we hold about you and be told how it has been used and who it has been disclosed to.
• Correct information that is inaccurate or incomplete. If you have an account, you can update most of your details yourself by signing in.
• Withdraw consent to our use of your information, subject to legal and contractual restrictions and reasonable notice. Withdrawing consent may mean we can no longer supply you.
• Request deletion of your information. We will comply except where we are required to keep records for legal, tax, accounting, or security reasons.
• Complain about how we have handled your information.

To exercise any of these rights, email support@vantagelabels.ca. We may ask you to verify your identity before we release information. We respond to access requests within 30 days.

Links to other websites

Our site may link to manufacturer datasheets, carrier tracking pages, and other third-party websites. We do not control those sites and are not responsible for their privacy practices. We encourage you to read the privacy policy of any site you visit from ours.

Age

Our website and products are intended for businesses and for adults. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.

Changes to this policy

We may update this policy as our business or the law changes. The revised version will be posted on this page with a new “last updated” date. If the changes are significant, we will bring them to your attention more directly. Please review this page from time to time.
