Zebra ZT400 Series — Compatible Labels & Ribbons
The Zebra ZT400 series is one of the most widely deployed mid-range industrial label printer lines in North America, a staple in warehousing, manufacturing and distribution. ZT400 printers run both thermal transfer and direct thermal media on large 3-inch-core rolls, so they pair with high-capacity label rolls and long 450 m ribbons that keep media changes to a minimum on busy lines.

Zebra ZT400 Series setup, calibration & troubleshooting
Everything below is taken from the manufacturer’s own documentation for this series. Most media faults are one of three things: the wrong sensor mode, a printer that has never been calibrated to the label you loaded, or a roll the printer cannot physically take.
The step-by-step procedures below come from the ZT411/ZT421 User Guide. The earlier ZT410 and ZT420 take the same media and ribbons and share the same media path, but their control panel menus differ — check your own printer's guide before following the on-screen steps.
How to load media in a ZT400 Series printer
- Raise the media door.
- Remove and discard any tags or labels that are torn, dirty, or held on by adhesive or tape.
- Pull the media supply guide out as far as it goes.
- Load the media. A roll goes on the media supply hanger, pushed as far back as it will go. Fanfold stock sits behind or under the printer and feeds in through the rear or the bottom access slot, then drapes over the media supply hanger — the path from there is identical.
- Open the printhead assembly by rotating the printhead-open lever upward, and slide the media guide all the way out.
- From the media hanger, feed the media under the dancer assembly, through the media sensor, and under the printhead assembly. Slide it back until it touches the inside back wall of the media sensor.
- Slide the media guide in until it just touches the edge of the media.
- If you are running thermal transfer stock, load a ribbon now. Direct thermal media needs none.
- Rotate the printhead-open lever downward until the printhead locks, then close the media door.
- Set the collection method to match your printer under Print Menu > Label Position > Collection Method.
The printhead may be hot enough to burn — let it cool before reaching past it. You do not have to switch the printer off to load media, though Zebra recommends it; if you do, any temporary settings such as loaded label formats are lost.

Calibrating the ZT400 Series to your labels
Calibrate whenever you change to a label of a different size, a different material, or a different sensing type — the printer stores thresholds for the last stock it saw.
Media sensing: gap / die-cut (transmissive), black mark (reflective) and continuous / no sensing. The transmissive sensor reads gap and notch die-cut labels; the reflective sensor reads black-mark media. Set Print > Sensors > Sensor Type and the media type (Continuous, Gap/Notch or Mark) to match the stock you actually loaded — a mismatch here is the most common reason labels feed through blank or the printer reports being out of media with a full roll fitted.
Quick calibration: Home screen > Wizards > Print > Start Print runs the print wizard, which auto-calibrates and prints a test label.
- Touch Print > Sensors > Manual Calibration, then Start Calibration.
- Follow each on-screen prompt exactly, touching Next to advance. You will be asked to remove labels from the backing and slide the bare backing under the sensor.
- Press and hold CANCEL at any point to abandon the calibration.
- When calibration completes, press PAUSE to leave pause mode and resume printing.

Connections and finding the printer’s IP address
Standard: USB 2.0, Wired Ethernet (10/100) and RS-232 serial. Optional: 802.11ac Wi-Fi, Bluetooth Classic and Bluetooth LE, Parallel and Applicator interface.
To find the IP address: On the Home screen, touch the Printer Info tab and read the IP address from the display. To get it on paper, touch Menu > Networks > Print: Network Info to print a network configuration label. An address of 0.0.0.0 means no address was assigned — check the Ethernet connector at the back of the printer; if no light is lit or blinking the link is not active.
To reset the network settings: Set a static address under Connection > Wired > Wired IP Address (or Connection > WLAN > WLAN IP Address for wireless), with the IP Protocol set to PERMANENT, then reset the network. Ask your network administrator for the correct values.

ZT400 Series indicator lights and what they mean

Print quality problems on the ZT400 Series
General poor print quality
Print darkness or speed is set wrong, or the label and ribbon are not a matched pair for the job.
Run Menu > Print > Print Quality and set darkness to the LOWEST setting that still gives good print — too high burns through the ribbon, blurs the image and wears the printhead early. Slower speeds print better. If it persists, the label/ribbon combination is wrong for the application.
Fine angular grey lines on blank labels, or long tracks of missing print
Wrinkled ribbon, or a damaged print element.
Treat wrinkled ribbon first (below). Long tracks of missing print across several labels usually mean a damaged print element — that needs a service technician.
Wrinkled ribbon
The ribbon is coated on the wrong side for this printer, was loaded incorrectly, or the burn temperature is too high.
Check the coated side first: these printers need coated-side-out (CSO) ribbon, and a coated-side-in ribbon cannot be used at all. Then re-load it squarely, and bring the darkness setting down.
Loss of print registration, or skipped and mis-positioned labels
Dirty platen roller, media guides set wrong, wrong media type selected, media loaded badly, or the printer has never been calibrated.
Clean the printhead and platen roller, seat the media guides against the edge of the roll, set the media type to match the stock you actually loaded (gap/notch, continuous or mark), then calibrate.
